Data Protection Notice – for TIE Members

This Privacy Policy has been updated on 22 May 2018

Toy Industries of Europe, based at 36 Boulevard de Waterloo, 1000 Brussels, Belgium (hereafter “TIE” or “we”), has prepared this data protection notice (the “notice”) to describe its practices regarding the collection, use, storage, transfer and other processing of individually identifiable information (“personal data“) of its members  (“you”). TIE is the controller responsible for the processing of personal data described in this notice.

Please note that we may occasionally update all or parts of this Privacy Policy. In those cases, we will inform you via email. Any change to this Privacy Policy will also be posted on this page.

What information do we collect from you and for which purposes?

The categories of personal data TIE collects from you are your name, surname, gender, work email, work address, job title, telephone details, LinkedIn URL and sometimes photograph.

TIE will only use this personal data:

  • for contract management purposes.
  • for communications purposes. When joining TIE, members are asked to provide us with the contact details of the people within their organisation that they would like us to include in our different mailing lists. On the basis of this, we will be sending them information such as invitations to meetings, meeting minutes or TIE publications.

How do we store your personal data and who has access to your data?

TIE maintains a database with an electronic record of each member’s personal data. Additionally, TIE maintains personal data in various digital documents, such as meeting minutes, event attendee lists and the (electronic) file of the member organisation.

The persons and entities that can have access to your personal data are:

  • the TIE staff
  • external professional services, such as TIE’s IT/website supplier and TIE’s database software supplier

When TIE engages a third-party processor to process personal data on its behalf, such as those listed above, TIE will choose a processor that provides sufficient guarantees with respect to technical and organisational security measures governing the relevant processing.

From time to time, TIE may also need to disclose personal data to other parties, such as any organisation with whom TIE co-organises an event.

How do we protect your data?

We will store your data safely and will take precautionary measures to protect them against loss, abuse or changes. To try to prevent unauthorized access, maintain data accuracy and ensure the correct use of your information, we have implemented appropriate physical, electronic and managerial procedures to safeguard and secure the information collected.

TIE’s employees or any of TIE’s contractual partners who have access to your data in order to provide services to TIE (e.g. its IT/website supplier, its database software supplier) are contractually obliged to keep such information in confidence and may not use these data for any purpose other than performing their contractual missions for TIE.

Do we transfer your data to third countries?

We use a third-party email service provider, Hubspot, to send you our weekly newsletter.  To allow us to send our emails through Hubspot, we provide Hubspot with your name, surname and email address. In those cases, your data is sent to a server operating in Germany and stored there in accordance with the European Union’s General Data Protection Regulation.

Hubspot treats information about you in accordance with the provisions of its Privacy Policy. Hubspot also utilizes certain technologies, such as pixels and web beacons, in the emails that are sent through it. These technologies allow Hubspot to track whether you have opened or clicked on our emails and if so, the date, time, and IP address associated with the open and/or click.

You can unsubscribe from our weekly bulletin mailing list at any time following the instructions indicated in every email.

For how long do we keep your data?

TIE will retain the personal data of its members only for as long as necessary for the purposes described in this notice. We will delete these data when the contract terminates and/or when the data subject ceases representing their organisation vis-à-vis TIE.

What are your rights and how can you exercise them?

You have the right to: i) have access to your personal data; ii) have inaccurate data corrected or removed, iii) object to the processing of your personal data; (iv) restrict TIE’s use of your personal data; (v) receive your personal data in a usable electronic format and transmit it to a third party (right to “data portability”); and (vi) lodge a complaint with your local data protection authority.

If you wish to exercise any of these rights or if you are not satisfied about how we protect your privacy, you should address your request by email together with a copy of your ID (which we will only use to verify your identity), to TIE, as data controller at the following address:  info@toyindustries.eu.
